1.       Volunteer Hour Requirements.  The success of the Canyons Aquatic Club program relies on the support of ALL of our Canyons families.  None of what we do is possible without parent participation in organizing and running our swim meets and team activities.  Parental support and involvement through volunteerism are essential to continuing a high level of achievement of the team.  With this in mind, all Canyons Aquatic Club Families are required to contribute volunteer hours to support and assist our team.  Each family is assigned a minimum number of volunteer hours, based on the highest level practice group of your swimmer (or swimmers), as of Sept. 1st, 2025, per the schedule below.  Volunteer Hours are required of all Canyons Families, regardless of your swimmer’s participation in swim meets or team events.
The intention of this policy is not to raise money, but to emphasize how critical it is that we ALL work together to make this year a successful one.  We need the support of ALL Canyons families to provide well run swim meets and events for our swimmers.  Our objective is to provide flexibility to fulfill the minimum required volunteer hours, while more evenly sharing in the team support effort that is required for a successful year.
  • Volunteer hours must be completed between Sept. 1st, 2025, and July 31st, 2026.  
  • Every family is required to sign up for a minimum of 3 hours during BOTH the Canyons Cranberry Classic (November 21-23, 2025), and the SCS June Age Group Championships (June 18-21, 2026) hosted at Santa Clarita Aquatic Center.  This requirement applies regardless of whether or not you have a swimmer participating in the meet and/or if you have already completed your total required volunteer hours.
  • Volunteer hours are tracked online in Sports Engine, and it is each family’s responsibility to check the accuracy of your volunteer hour record online throughout the year.  Questions regarding inaccurate/missing hours can be directed to [email protected].  
  • Failure to fulfill the minimum volunteer hour requirements will result in a $25.00 per hour charge for unfulfilled hours on your August 2026 Sports Engine billing.

2.      Group Changes During the Swim Season—If your swimmer changes practice groups after December 1, 2025, your Volunteer Hours are adjusted ONLY if your swimmer moves to a group with a lower minimum number of support hours. Your account will not incur additional hours if your swimmer moves to a practice group with a higher number of Volunteer Hours.

​If your swimmer joins the team after September 30, 2025, your volunteer hours will be prorated based on the month that they joined the team, per the chart below. 
3.      Leaving the Swim Team During the Season—If your swimmer decides to leave the Swim Team during the season (Sept. 1, 2025 – July 31, 2026), charges for unfulfilled Volunteer Hours are assigned to your account based on the following criteria:
a. Upon leaving the Team, your account will be charged based on the number of hours required for your swimmer’s practice group, prorated for the number of months your swimmer has participated on the Team, regardless of their participation in meets. The actual hours worked are subtracted from the prorated hours required, and the balance, if any, is charged to your account at the rate of $25.00 per hour.  The only exception to this rule will be as follows - 
b. Families who join the team at the Pioneer/Competitive Development level will be allowed a 2 month grace period (starting at the registration date) from incurring unfulfilled volunteer hour charges

7.  Committee Chair Positions/Compensation - Please read below for general job descriptions of all Canyons Committee Chair Positions and their relative compensation.  Open Chair positions will be announced as available, and any interested parent volunteer can contact either the Volunteer Coordinators or the Board of Directors.
Volunteer Coordinators
Canyons will have up to two (2) Volunteer Coordinators, who are responsible for all steps in the process of filling the volunteer positions needed at all swim meets and team events, managing each family’s volunteer hours for each swim year, the overall continual management and execution of the Canyons Volunteer Policy, and any and all communications regarding volunteering at Canyons.  Volunteer Coordinators should be on deck for the duration of all Canyons-hosted meets, including Blue & Gold Meets.  Compensation for this position will be one (1) free yearly tuition per Volunteer Coordinator, with all expected volunteer hours waived.  For Volunteer Coordinators with multiple swimmers, the free tuition will be credited toward the swimmer at the highest practice level.  
Meet Coordinators
Canyons will have one (1) Meet Coordinator, who is responsible for coordinating and executing all aspects of setting up, tearing down, and assistance with the physical execution/running of all Canyons-hosted invitational meets.  The Meet Coordinator should be on deck for the duration of Canyons-hosted invitational events. Additionally, the Meet Coordinator arranges team canopy transportation to/from external swim meets with parent volunteers.  Compensation for this position will be one (1) free yearly tuition, with all expected volunteer hours waived.  For Meet Coordinators with multiple swimmers, the free tuition will be credited toward the swimmer at the highest practice level. 
  • Meet Coordinator Assistant
Canyons will have one (1) Meet Coordinator Assistant, who is responsible for taking direction from the Meet Coordinator and assisting with executing all aspects of setting up, tearing down, and the physical execution/running of all Canyons-hosted invitational meets.  The Meet Coordinator Assistant should be on deck for the duration of Canyons-hosted invitational events.  Compensation for this position will be one (1) free monthly tuition for months in which a Canyons-hosted invitational meet falls.  For a Meet Coordinator Assistant with multiple swimmers, the free tuition will be credited toward the swimmer at the highest practice level.
Apparel Coordinator
Canyons will have one (1) Apparel Coordinator, who is responsible for the design, management, and ordering of all Canyons apparel and merchandise, including Coach apparel and all Canyons-branded items for sale to Canyons team members. The Apparel Coordinator works closely with Conejo Swimworks on all Canyons orders, such as caps, uniforms, and group equipment requirements, and handles our Speedo sponsorship allowance, working with our assigned representative from Speedo.  Additional responsibilities include selling team merchandise at Canyons meets and events, and distributing team registration and championship t-shirts, meet bag tags, custom orders, Senior gifts, and all fundraising and raffle prizes.  Compensation for this position will be one (1) free yearly tuition, with all expected volunteer hours waived.  For an Apparel Coordinator with multiple swimmers, the free tuition will be credited toward the swimmer at the highest practice level.  
Awards Coordinator
Canyons will have one (1) Awards Coordinator, who is responsible for the ordering, organization, and delivery of all awards related to Canyons-hosted swim meets, team attended swim meets, and the Annual Canyons Awards Banquet.  The Awards Coordinator should be on deck for all PM and/or Finals Sessions of Canyons-hosted Invitational Meets to oversee the organization and delivery of awards to participating teams.  Compensation for this position will be as follows:
*One (1) free monthly tuition for months in which a Canyons-hosted Invitational Meet falls.
*One (1) 50% off monthly tuition for the month of the Annual Canyons Awards Banquet.
*One (1) 50% off monthly tuition for months in which a Canyons Blue and Gold Meet falls.
*All expected volunteer hours are waived.
*For an Awards Coordinator with multiple swimmers, the free tuition will be credited toward the swimmer at the highest practice level. 
Hospitality Director/Assistants
Canyons will have one (1) Hospitality Director, who is responsible for the planning, coordinating, and execution of Meet Hospitality at all Canyons-hosted meets.  The Hospitality Director should be on deck for the duration of all Invitational Meets, and will also be responsible for the training/guidance of the Hospitality Assistants, including their ability to work independently at Canyons Blue and Gold Meets.  Compensation for this position will be one (1) free yearly tuition, with all expected volunteer hours waived.  For a Hospitality Director with multiple swimmers, the free tuition will be credited toward the swimmer at the highest practice level. 
         Hospitality Assistant
Canyons will have one (1) to two (2) Hospitality Assistants, who will be responsible for taking direction from the Hospitality Director and assist with planning, shopping, and executing Meet Hospitality at all Canyons-hosted meets.  Hospitality Assistants should be on deck for the duration of all Canyons-hosted meets, with only one Assistant needed for each Canyons Blue and Gold meet.  Compensation for this position will be as follows:
*One (1) free monthly tuition for months in which a Canyons-hosted Invitational Meet falls.
*$75 tuition credit for one (1) Hospitality Assistant for each Canyons Blue and Gold meet worked.
*All expected volunteer hours are waived.
*For a Hospitality Assistant with multiple swimmers, the free tuition will be credited toward the swimmer at the highest practice level.
